One of the most common causes of project closeout delays is incomplete roofing submittals. Whether you're managing a hotel renovation, a school re-roof, or a new commercial build, your roofing sub's documentation package needs to be complete before the first square of membrane goes down — and again before you hand over the keys.
This checklist is based on what Pro Roofing KC delivers on every project, and what we recommend GCs require from any roofing subcontractor.
Pre-Construction Submittals
- Product Data Sheets — Manufacturer cut sheets for membrane, insulation, cover board, adhesives, and fasteners
- Shop Drawings — Edge metal profiles, penetration details, drain details, parapet cap details
- Installer Certification — Manufacturer certificate confirming the sub is authorized to install the specified system and issue the required warranty tier
- Insurance Certificate — GL ($2M+ per occurrence), Workers Comp, Umbrella, naming GC and owner as additional insured
- EMR Letter — Current Experience Modification Rate letter from insurance carrier (most GCs require sub-1.0)
- Safety Plan / JHA — Job Hazard Analysis for rooftop work, fall protection plan
- Warranty Application — Submitted to manufacturer before work begins on projects requiring NDL warranty
- Submittal Log — Tracking sheet showing all required submittals, submission dates, and approval status
During Construction
- Daily Field Reports — Weather conditions, crew size, work completed, and any issues
- Moisture Survey / Deck Inspection Report — Required before installing over existing insulation on re-roof projects
- Fastener Pull-Out Test Results — Required for mechanically attached systems on steel deck
- Weld Test Log — Heat weld probe test results for TPO/PVC seams
- RFI Log — All requests for information with responses and resolution dates
- Certified Payroll — Required for prevailing wage / Davis-Bacon projects
Closeout Submittals
- Manufacturer's Warranty — Executed NDL warranty document from manufacturer
- Contractor's Workmanship Warranty — Typically 2-year labor warranty from the roofing sub
- As-Built Drawings — Marked-up plans showing any field changes from the original design
- Maintenance Manual — Manufacturer's recommended maintenance schedule and procedures
- Lien Waiver — Conditional and unconditional lien waivers for all payments
- Substantial Completion Inspection Report — Punch list walk with GC superintendent
- Final Inspection Report — Manufacturer's field representative inspection report (required for NDL warranty)
- O&M Manual — Operations and maintenance documentation for owner
